Biller Genie Pricing and What Each Plan Really Costs With Per-Invoice Fees

Biller Genie no longer shows a price list, and review sites disagree on what it costs. Here is what the vendor states, what third parties report, what a percentage per invoice adds up to at your volume, and seven questions to ask before the demo.

Biller Genie pricing is not published by Biller Genie. Its old pricing URL now forwards to a general "How It Works" page that ends in a 15-minute sales call, and the figures you see on review sites disagree with each other: one says plans start at 19.95 USD a month, two others say 24.95 USD, and one lists three tiers that each add a percentage per invoice on top of the monthly fee. The monthly fee is the small part of the bill. What decides your real cost is the per-invoice percentage, the payment processing rates from whichever merchant provider sold it to you, and the usage charges for ACH and paper mail.

This guide lays out what Biller Genie states on its own pages, what third parties report, and how to work out the total for your invoice volume before you sit through the demo. Where a number comes from a directory instead of the vendor, it is labeled that way.

How much does Biller Genie cost?

Biller Genie does not publish a price list, so the only figures available come from third-party directories. They report a starting price between 19.95 and 24.95 USD a month, and one reports that each plan also charges between 0.25 and 1.00 percent per invoice. Biller Genie's own site confirms a 14-day free trial and nothing else about price.

ITQlickStarts at 19.95 USD a month. Lists ACH at a 20 USD monthly minimum, 25 USD setup and 0.50 USD per transaction, and paper mail at 1.50 USD per reminder plus 0.25 USD per extra pageThe only source that itemizes usage charges. Estimates 1,200 to 5,000 USD or more in the first year
SpendbaseEssentials 19.95 USD a month plus 1.00 percent per invoice, Professional 49.95 USD plus 0.50 percent, Corporate 299.95 USD plus 0.25 percent, Enterprise customThe only source that shows a tier structure. If accurate, the percentage is most of the cost

Two directories five dollars apart is not a scandal. It does tell you these listings were captured at different times and that nobody outside the company can say what a new customer pays today. Treat every figure above as a question to ask, not a quote.

Why does Biller Genie not publish its prices?

Because most customers do not buy it from Biller Genie. The product is built to connect your accounting software to your payment processor, and it is distributed largely through partners: merchant service providers, banks, franchise systems and accounting firms each have their own section of its website. One reviewer on its homepage says plainly that their card processing company referred them.

That channel explains the missing price list. When a merchant services rep bundles Biller Genie with a processing account, the software fee can be discounted, waived or folded into the processing rate. Two businesses with the same invoice volume can pay different amounts depending on who sold it to them. It also means the software quote and the processing quote arrive together, and you need to read them as one number.

What does a percentage per invoice add up to?

If the tiers Spendbase reports are right, the percentage outweighs the monthly fee almost immediately. Here is the arithmetic at three invoice volumes, using those reported rates. The directory does not say whether the percentage applies to every invoice sent or only to invoices paid through the platform, which is the first thing to get in writing.

Invoiced per monthEssentials (19.95 + 1.00%)Professional (49.95 + 0.50%)Corporate (299.95 + 0.25%)
25,000 USD269.95 USD174.95 USD362.45 USD
100,000 USD1,019.95 USD549.95 USD549.95 USD
400,000 USD4,019.95 USD2,049.95 USD1,299.95 USD

At 100,000 USD a month, the "19.95 a month" plan would cost more than a thousand dollars, and the two higher tiers would cost exactly the same. Above that, only Corporate makes sense. None of this includes card or ACH processing, which is charged by your merchant provider on top. A business invoicing 100,000 USD a month with half of it paid by card at around 3 percent pays roughly 1,500 USD in processing before any software fee.

To check a quote against what you pay now, pull three months of merchant and bank statements and total the fees. If they only exist as PDFs, convert the bank statements to a spreadsheet first so you can sum processing debits by month instead of reading them line by line.

What do you get for the money?

Biller Genie's features page describes a tidy set of invoice-to-cash functions for a small business that already keeps its books in QuickBooks or Xero. You create the invoice in your accounting software as usual, and it handles delivery, reminders, payment and posting.

  • Invoice delivery by email on your schedule, or printed, stuffed and mailed for you.
  • Reminders before and after the due date, on a schedule you set.
  • A customer portal where customers view invoices, pay by card or ACH, set up autopay or split a large invoice into a payment plan.
  • Late fees and finance charges added automatically to overdue invoices.
  • Surcharging and convenience fees, described as two ways to offset processing costs.
  • Reconciliation, with payments and deposits matched back into the accounting system.

Its integrations page splits accounting connections into desktop and online products, and its footer credits the QuickBooks and Xero trademarks. Payment gateways are grouped by card, ACH and alternative methods. Reviews on its homepage are consistently warm about onboarding and support, and several mention QuickBooks by name.

What does Biller Genie not do?

It reminds. It does not chase. The features page lists email and paper mail as the channels, with no text messages and no phone calls, and nothing that reads a customer's reply and responds to it. If a customer ignores five reminder emails, the sixth step is a person on your team picking up the phone.

For many small businesses that is fine. If most of your customers pay late because they forgot, a reminder with a pay button fixes it, and Biller Genie is good at exactly that. If your overdue list is full of customers who saw the email and still did not pay, you need follow-up that changes channel and holds a conversation. That is the gap tools like QuickBooks invoice reminder software with SMS and calling are built to close.

How does Biller Genie pricing compare to alternatives?

The useful comparison is between pricing models, because a percentage of invoices, a flat fee and a revenue band behave very differently as you grow. The table uses each vendor's own published prices, except Biller Genie, where the figures are third-party reports.

ToolPublished price? How the price scalesChannels after the first email

AccountsReceivable.aiYes. 299, 799 or 1,899 USD a month, half that billed annuallyBy plan. No percentage of invoices or of collectionsSMS on Starter, live two-way AI phone calls on Growth

Under about 25,000 USD a month in invoices, Biller Genie's reported entry tiers are the cheapest option here by a wide margin, and a flat-fee tool is hard to justify on price alone. Past roughly 100,000 USD a month the picture flips: a percentage keeps climbing while a flat fee stays put. More detail on each sits in the Paidnice pricing, Chaser pricing and Chargezoom pricing breakdowns, and the full plan list for our own product is on the accounts receivable automation pricing page.

What should you ask before signing?

Seven questions turn a vague quote into a number you can compare.

  1. What is the monthly fee, and is there a percentage per invoice on top? Does it apply to all invoices sent or only those paid through the portal?
  2. Is the software fee tied to keeping my processing account with this provider? What happens to it if I change processors?
  3. What are the card, ACH and surcharge rates, in writing, including monthly minimums and setup fees?
  4. What does mailed paper cost per piece and per extra page?
  5. Which edition of my accounting software is supported, and how often does it sync?
  6. What happens after the last reminder email? Is there a text, a call or a task for my staff?
  7. What is the contract term, and how do I disconnect after the 14-day trial if it is not working?

Surcharging deserves its own check. Card network rules and state laws limit how and where a surcharge can be added, and some customers resent it. Passing a 3 percent fee to a customer who would otherwise have paid by ACH for free is not a saving.

When is a flat-fee collections agent the better buy?

When the problem is non-payment, not inconvenience. Biller Genie makes it easy for a willing customer to pay. AccountsReceivable.ai is built for the unwilling or distracted one: it connects to QuickBooks or Xero, emails first, then texts, then on the Growth plan places a live AI phone call that answers questions from the invoice record and writes down a promise-to-pay date. It checks the balance before each touch so nobody who paid this morning gets chased, and it matches incoming payments to open invoices.

The price is 299 USD a month on Starter, or 149 USD billed annually, whatever the dollar value of your invoices. You can see how it works before paying anything: run the sample receivables book at the top of this page and watch the agent chase, collect and reconcile, or upload your own aging export from QuickBooks as a CSV on the homepage to get an aging report and the wording of the first reminder.

Frequently asked questions

Does Biller Genie have a free trial?

Yes. Biller Genie's own FAQ offers a 14-day free trial at no cost and with no obligation to continue, and says the software disconnects from your accounting system cleanly if you stop. Payments your customers make during the trial still go through your payment processor, so normal processing fees apply.

Is Biller Genie free with QuickBooks?

No. Biller Genie is a separate paid product that connects to QuickBooks, not a feature included with it. Third-party directories report plans from 19.95 or 24.95 USD a month, and some merchant service providers discount or bundle the fee when you process payments through them. Ask your provider what you would pay.

Does Biller Genie charge a percentage of invoices?

Biller Genie does not publish its fee structure. One directory, Spendbase, reports a per-invoice percentage on every tier: 1.00 percent on Essentials, 0.50 percent on Professional and 0.25 percent on Corporate, in addition to the monthly fee. Other directories do not mention it. Confirm in writing whether a percentage applies and what it is calculated on.

Does Biller Genie send text message reminders or make calls?

Its features page lists email delivery and printed mail for invoices and reminders, and does not mention text messages or phone calls. If you need SMS or calling in the follow-up sequence, look at tools that publish those channels, such as Chaser, Paidnice or AccountsReceivable.ai.

Who is Biller Genie best for?

Small businesses on QuickBooks or Xero that send a modest dollar volume of invoices, want customers to pay online by card or ACH, and whose late payers mostly just need a reminder and a pay button. It is a weaker fit above roughly 100,000 USD a month in invoices if a percentage fee applies, or when overdue customers need a text or a call.

What is a good Biller Genie alternative?

For invoice-count pricing on QuickBooks Online or Xero, Paidnice from 69 USD a month. For payment processing built into QuickBooks Desktop, Chargezoom. For SMS and recorded calls on a published rate card, Chaser from 259 USD a month. For an agent that emails, texts and places live AI calls on a flat fee, AccountsReceivable.ai from 299 USD a month.
