Subscription fees for the AccountsReceivable.ai agent are final once a billing period starts. This page explains why, the few exceptions, and how cancelling works. Effective October 14, 2026.
Why fees are final
From the first day of a paid period the agent is connected to your ledger, sending reminder sequences, matching remittances to open invoices and keeping the aging report current. That work starts immediately and cannot be handed back, so the fee for Starter, Growth, Scale or Enterprise is not returned once the period has started. The only exceptions are listed below.
When we do return a charge
We charged you twice. A billing error on our side that took the same fee twice for one period is corrected by returning the duplicate in full.
The charge was not authorized. If your company card was used without permission and you tell us within 14 days of the charge, we check the payment record and the account activity. Once the charge is confirmed as unauthorized, we return it and close the account it paid for.
The service was fully down. If the agent and dashboard were completely unavailable to you for an extended part of a paid period because of a fault on our side, and you reported it at the time, we may return the portion of the fee that matches the outage. Delays in a connected accounting system, a bounced reminder email or a single failed sync are not an outage.
Returned amounts go back to the card that was charged and are capped at the fee paid for that period.
What does not qualify
A fee pays for the agent working on your receivables during the period, not for a result. It is kept, for example, when:
- collections, DSO or cash applied did not move as much as you expected in that period,
- your team did not finish connecting the accounting system or never switched the reminder sequences on,
- fewer invoices went through the agent than the plan allows,
- your finance team changed tools, was restructured or paused the project partway through,
- a yearly plan was chosen and later felt too long, or a larger plan than needed was picked,
- renewal ran because it was not switched off in time,
- the account was closed for breaching the terms of service.
Requesting a review
Email [email protected] from the address on the account within 14 days of the charge, with the date, the amount and which of the three cases applies. You get a written answer to every request.
Cancellation and plan changes
Switching off renewal in the billing area of your dashboard stops later charges. It does not undo a charge already made, and unused days in a month or year are not prorated back. The agent keeps working until the paid period ends. Upgrading charges the price difference straight away. Downgrading takes effect at the next renewal, with nothing returned to the card.
Renewals and retried charges
Plans renew automatically at the start of each period while renewal is on. A failed renewal stays due and our payment operator retries it. A renewal that has been paid is final under this policy.
Evidence we hold
For every subscription we keep the acceptance of the terms at checkout, the account activity log (sign-ins, connections, sequence changes) and the payment record kept by our payment operator, including the 3D Secure result. These are what we rely on when reviewing a request or a dispute.
Disputes and chargebacks
Please talk to us before raising a dispute with your bank. A chargeback on a valid charge without contacting us first breaches the terms, and we may close the account while the dispute is open. We give the card network the records above so it can rule on it.
Immediate start of the service
Completing checkout is a request for the service to start at once. Where consumer law grants a right to withdraw from a digital services contract, you agree that this right ends once the service has begun.
Purchases before this policy
Payments made before October 14, 2026 remain under the terms that applied when they were made.
