That makes Paidnice one of the few accounts receivable tools you can price without a sales call, and for a small Xero or QuickBooks Online business it is often the cheapest serious option on the shortlist. The catch is that the headline price is only part of the bill. Two things about this table matter more than the prices. First, the unit is invoices monitored per month, not users. A five-person finance team pays the same as a one-person team on Pro, which is the opposite of per-seat tools like Kolleno or BILL. Second, the email allowance is capped per tier. Essentials gives you 600 emails for 150 invoices, which is four emails per invoice. That is plenty for customers who pay after the first nudge and tight for a ledger full of slow payers.

The row that surprises people is the custom email domain. On Essentials your reminders go out without your own sending domain. For a small business with friendly customers that rarely matters. For a company whose invoices land in a corporate accounts payable inbox, a reminder that arrives from your own domain is more likely to be opened and less likely to be filtered, which is a reason many buyers end up on Pro even when their invoice count fits Essentials.

What SMS reminders cost on top

Texts are included as a feature on every tier but are charged per message: about 10 cents per SMS in the US, with different local rates elsewhere. That is cheap per text and adds up predictably. A business that texts 200 customers a month once each pays roughly 20 dollars. One that runs a three-text sequence on 500 overdue invoices pays about 150 dollars a month in messages, which on the 179 dollar Pro tier nearly doubles the bill.

Paidnice's free trial is counted the same way. You get your first 20 actions free, with no time limit and no card, and an action is anything the tool does for you: an email, a text, a late fee added or an escalation created. Twenty actions is enough to watch a reminder sequence run on a handful of real invoices. Two more line items can change these numbers. Additional entities cost 29 USD per entity per month, so a group with four companies on separate Xero files adds about 87 USD for the three beyond the first. And anyone on NetSuite, Dynamics 365 or Sage starts at 999 USD a month regardless of invoice count, because those connectors exist only on Custom. A Sage Intacct company with 300 invoices a month is not a 99 dollar customer; it is a 999 dollar one.

Is Paidnice worth it?

For the business it was built for, yes, and the reviews say the same. Paidnice holds about 4.9 out of 5 on Capterra, from only 14 reviews, so treat it as a strong early signal rather than settled evidence. Reviewers mostly praise the same things: late fees and follow-up that used to be manual now run on their own, the interface is straightforward, and support is responsive during setup. One reviewer puts the saving at five hours a week. The complaints are small and practical: setup takes time to learn, and one reviewer wanted a way to remove late fees in bulk.

What Paidnice does not do is as important as what it does. It sends emails and texts, adds late fees and interest, offers payment plans, and when a sequence runs out it creates an escalation for your team to follow up by hand. It does not place phone calls, and its pricing page says nothing about reading and acting on what customers reply. So the collections work that needs a human, the call to the controller who has stopped answering emails or the dispute buried in a reply, stays with you.

Payments also only stop the reminders once they are recorded in your ledger. On Xero that means the bank line has to be reconciled, and if a bank feed breaks you can convert the PDF bank statement to an OFX file and import it, so paid customers stop getting chased while the feed is fixed.
