Kolleno pricing: what Kolleno costs per user, and the pound-to-dollar math US buyers keep getting wrong

Kolleno is one of only four AR vendors with a public rate card, and it is priced per user in pounds sterling: BusinessPay at 650 GBP per user per month, Business Plus at 1,245 GBP, custom above that. Here is what each plan includes, why the connector for your ledger may sit on a tier the rate card does not show, what a seat really costs once three people need access, and how it compares with the other published prices in the category.

Kolleno publishes a per-user rate card, and it is in pounds sterling. BusinessPay costs 650 GBP per user per month, or 545 GBP per user per month on annual billing, with a one-user minimum and a stated fit for companies above 1M GBP in turnover. Business Plus is 1,245 GBP per user per month, or 995 GBP annual, with a two-user minimum for companies above 10M GBP. Enterprise and Enterprise Plus are custom, with minimums of two and four users and turnover floors of 100M GBP and 1B GBP. There is no US dollar price list, so an American buyer is doing exchange-rate math before the first call. At 1.30 dollars to the pound, a round figure close to where the rate has traded recently, the cheapest way in is roughly $710 a month for one seat on an annual contract, and a two-seat Business Plus plan on annual billing lands near $31,000 a year. Check the rate on the day, because it moves the quote by more than most negotiation does.

That transparency is unusual in this category. Of the accounts receivable vendors we track, only Chaser, BILL, Melio and Kolleno put numbers on a public page, and Kolleno is the only one of those that prices per user at this level. Everyone else, from Invoiced and Versapay up to HighRadius and Sidetrade, quotes after a demo. So the question with Kolleno is not what the price is. It is what a user is, which plan your ledger actually sits in, and how the per-seat model compares with the flat-fee tools it will be shortlisted against. This article works through all three.

How much does Kolleno cost?

Here is the rate card as published, with an approximate US dollar conversion at 1.30 dollars to the pound for orientation only.

Three things the table does not show. First, the annual discount is about 16 percent on BusinessPay and 20 percent on Business Plus, which is a stronger incentive than most vendors offer and tells you where Kolleno wants you. Second, the turnover floors are stated as fit, not as hard gates, but they signal who each plan is designed around: a 1M GBP company and a 10M GBP company are being sold a different product at a different price. Third, the pricing page carries a "Try for free" link on BusinessPay, while some third-party profiles state there is no published trial. Ask what the trial includes and whether it connects to a live ledger. Kolleno is a London company, which is why the rate card is in pounds, and it states ISO 27001 certification and GDPR compliance on the same page.

What each Kolleno plan includes

The pricing page lists Xero, QuickBooks and Sage Intacct integrations on BusinessPay, along with a customizable payment portal, multiple payment options, payment links, a customer dashboard and collections inbox management. Business Plus adds Clio, automatic reconciliation, an invoice dashboard, customer portfolios, team collaboration, reporting and analytics, workflow automation, training and onboarding, and what the page calls AI agent support. Enterprise and Enterprise Plus add multiple ERP accounts, unlimited regions, custom development hours and higher support tiers.

Each tier also carries an SMS and call allowance: 100 of each on BusinessPay, 200 on Business Plus, 400 on Enterprise and 600 on Enterprise Plus. Third-party reviews describe Kolleno's channels as email, SMS and the payment portal, with calls placed by a person through the platform rather than by an autonomous voice agent, so treat the call allowance as call minutes or logged calls until Kolleno confirms otherwise. If you need 400 texts a month on a one-seat plan, ask what an overage costs, because the page does not say.

The Clio connector on Business Plus is a tell. Clio is legal practice management software, and Kolleno is listed on several review sites under legal billing, so a law firm chasing client invoices is squarely in its target market. If that is you, note that the firm-facing features sit on the higher tier.

Which plan your ledger actually sits in

This is the question that changes the quote. Kolleno's integrations page names NetSuite, Xero, Clio, QuickBooks, Microsoft Business Central, Sage 300, Sage Intacct, Sage X3, Acumatica and SAP as ERP and accounting connectors, plus Stripe, Chargebee, Zuora and GoCardless on the payments side and Slack and Teams for communication. That is one of the wider lists in the category, and it makes Kolleno one of only four vendors that publish a Sage 300 connector at all.

But the pricing page names only Xero, QuickBooks and Sage Intacct under the two published tiers. NetSuite, Microsoft Dynamics Business Central, SAP and Oracle Fusion are listed under Enterprise, the custom-priced tier with a two-user minimum and a stated fit above 100M GBP turnover. Sage 300, Sage X3 and Acumatica appear on the integrations page but on no tier of the rate card at all, and Enterprise Plus lists "Custom ERP." The footnote under the plans says the displayed price is per user only and that extra charges may apply for integrations, customizations and add-ons. So a NetSuite company that budgeted from the BusinessPay line is really shopping the Enterprise quote, and a Sage 300 or Acumatica company should ask which tier carries its connector before anything else.

The comparison grid under the plan cards adds the operating limits: one ERP account and one business entity on BusinessPay and Business Plus, multiple on Enterprise; invoice volume above 100 a month on the two published tiers, above 1,000 on Enterprise and above 5,000 on Enterprise Plus; one region on the published tiers and unlimited above; and onboarding that runs from self-service on BusinessPay to three, six and eight-plus hours as you go up. Kolleno's own FAQ puts a typical onboarding at about ten days. One inconsistency worth knowing: the Enterprise Plus card says 1B GBP turnover while the grid below it says above 10B GBP, so ask which one applies.

What a user costs, and why it matters more here than anywhere else

At 650 GBP a seat, the definition of a user decides the bill. An AR team of one is a manageable line item. A team of three on BusinessPay monthly is 1,950 GBP a month, about $2,540, before any connector add-on. Move that team to Business Plus for the reconciliation and workflow features, and the two-seat annual minimum alone is 1,990 GBP a month. Ask whether a controller who only reads the dashboard is a seat, whether an account manager who gets looped into a dispute is a seat, and whether view-only access exists at all. Per-user AR tools are the ones that quietly double in year two when the sales team wants visibility, which is exactly the kind of line item a SaaS spend review tends to flag first.

The contrast is with flat-fee models, where the price is set by invoice volume or entity count and the seat count is free. AccountsReceivable.ai charges a flat fee from $299 to $1,899 a month with no per-seat cost, and Chaser prices by plan rather than by user. Neither is automatically cheaper than Kolleno for a one-person AR desk. Both are structurally cheaper the moment three or four people need to be in the tool.

Kolleno pricing vs the other published rate cards

Because so few AR vendors publish anything, the honest comparison set is small. These are the tools with public numbers, stated as each vendor publishes them.

Two cautions on reading it. BILL and Melio are accounts payable products with a receivables side, so a like-for-like feature comparison with Kolleno is unfair to both. And the two GBP vendors, Kolleno and Chaser, are the only ones where a US buyer is exposed to exchange-rate drift over a twelve-month contract. Ask whether the contract can be written in dollars. If it cannot, budget with a margin.

Is Kolleno expensive?

For one seat, no. A single BusinessPay license on annual billing, about $8,500 a year at the conversion above, sits at the low end of what mid-market AR automation costs. For comparison, the median Tesorio contract on Vendr runs 17,644 USD a year and the HighRadius median 12,973 USD, both covered in our Tesorio pricing and HighRadius pricing breakdowns.

For a team, it climbs fast. Four users on Business Plus annual is 3,980 GBP a month, roughly $62,000 a year, which is enterprise money for a product whose stated fit at that tier is a 10M GBP company. That is the crossover point where per-user pricing stops being a small-team advantage and becomes the reason a buyer goes back to the shortlist. The right question is not whether Kolleno is expensive. It is how many people need to log in.

Does Kolleno place collection calls?

The pricing page includes a call allowance on every tier, which is more than most rivals publish. But the reviews we have read describe Kolleno as an email, SMS and portal platform where a person places the call, not an autonomous AI voice agent. That matches almost every vendor in this market: of the platforms we track, only Sidetrade's Aimie and AccountsReceivable.ai place live AI collection calls on aged invoices. If a call step without a collector on the line is part of what you are buying, ask Kolleno to demonstrate it before you sign, and read what an AI collections agent actually does on the phone.

Six things to get in writing before you sign

  1. The user definition. Who is a seat, whether view-only access exists, and what a mid-term seat addition costs.
  2. The tier your connector sits in. NetSuite, Business Central, SAP and Oracle Fusion are listed under Enterprise only. Sage 300, Sage X3 and Acumatica appear on no tier at all.
  3. The contract currency. Whether a US customer can be invoiced in dollars at a fixed rate, and if not, who carries the exchange risk.
  4. SMS and call overages. The per-message or per-minute cost once you pass 100, 200, 400 or 600.
  5. Payment processing fees. The pricing page says nothing about card or ACH fees on the payment portal. Those come from the processor and can outweigh the subscription.
  6. What the free trial includes. Whether it connects to a live ledger and whether the data carries into the paid plan.

What to do next

If you are a one-person AR desk on Xero, QuickBooks or Sage Intacct, Kolleno's BusinessPay is a fairly priced, clearly published option and the trial is worth running. If three or more people need access, if your ledger is NetSuite or Sage 300, or if you want the calling step handled without a collector, price the flat-fee alternatives first.
