Versapay does not publish a QuickBooks integration. Its own ERP integrations page, checked again in September 2026, names Oracle NetSuite, Sage Intacct, Microsoft Dynamics 365 Business Central, Dynamics 365 Finance and Supply Chain Management and MRI, then offers an open API and flat file import for everything else. QuickBooks Online, QuickBooks Desktop and Xero are not on the list. If your books are in QuickBooks, the realistic choice is a custom API project with Versapay or an AR platform that names QuickBooks as a connector, and there are at least eight of those.

That answer surprises people because Versapay is one of the better known names in receivables, and QuickBooks is the ledger most US businesses under a few hundred million in revenue actually run. This article covers what Versapay connects to, what it means to use it with QuickBooks anyway, which alternatives publish a QuickBooks connector and what each one costs. Does Versapay integrate with QuickBooks?

No, not natively. Versapay lists five named ERP integrations: NetSuite, Sage Intacct, Business Central, Dynamics 365 Finance and Supply Chain Management, and MRI, the property management platform. The same page mentions QuickBooks and Xero only when it describes a different category of product, integrated payment systems, to contrast them with Versapay's own ERP connections. That is a useful tell about who Versapay is built for: mid-market and enterprise finance teams on a full ERP, not QuickBooks shops.

Third-party comparison sites such as GetApp will happily put "QuickBooks Online vs Versapay" side by side, which reads as if the two work together. They are two separate products in the same broad category. Nothing on Versapay's site describes a QuickBooks connector, a QuickBooks sync schedule or a QuickBooks setup guide.

Can you still use Versapay with QuickBooks?

Technically yes, through the open API or flat file import. In practice that means someone on your side, or a consultant, builds and maintains the plumbing: exporting open invoices and customers out of QuickBooks, loading them into Versapay, and then getting payments and applied cash back into QuickBooks so the two ledgers agree. Every one of those steps has to survive a QuickBooks update, a new custom field and the person who built it leaving.

Three questions decide whether that is worth it:

  • How fresh does the data need to be? A nightly file means a customer who paid at 10 a.m. can still get a reminder the same afternoon. That is the complaint that ends up in your inbox, not Versapay's.
  • Who posts the cash back? Versapay's cash application is one of its strengths, but the applied payment still has to land in QuickBooks as a receive-payment against the right invoices. With a flat file, that is a second job to build.
  • What does it cost before you send a reminder? Versapay publishes no price. Vendr reports an average contract near 5,423 USD a year, but from only four buyers, and larger mid-market deals are quoted far higher. Add the integration build and the total is rarely small. For a company already planning a move from QuickBooks to NetSuite or Business Central in the next year, buying Versapay first and bridging for a few months can make sense. For everyone else, a tool that already speaks QuickBooks is cheaper and faster to run.

These vendors name QuickBooks on their own integration or pricing pages. The table shows which QuickBooks edition, whether a price is published, and how each one chases an overdue invoice, because that last column is where most QuickBooks teams feel the difference.

Two things stand out. First, the vendors with the heaviest enterprise reputations either skip QuickBooks entirely (Versapay, Billtrust, HighRadius) or gate it behind a revenue floor (Quadient AR). Second, the QuickBooks-ready tools are also the ones most likely to print a price, which is not a coincidence: they sell to teams without a procurement department.

Which Versapay alternative fits a QuickBooks business?

Start from the reason Versapay was on the list in the first place.

You wanted the customer payment portal. Invoiced by Flywire is the closest match on a QuickBooks ledger: a self-serve portal, card and ACH, and connectors for both QuickBooks Online and Desktop. Paystand is the other portal-first option if your goal is moving customers off card fees onto bank payments, but it does not run a reminder sequence, so pair it with something that does.

You wanted cash application. Tesorio and Quadient AR both apply cash with machine matching and both connect to QuickBooks Online. Tesorio carries the highest review score in the category, around 4.7 from 236 reviews on G2. Quadient AR is built for larger teams and says so with its revenue threshold.

You wanted invoices chased without hiring a collector. That is a different product from Versapay, and it is where most QuickBooks teams actually are. Does Versapay work with QuickBooks Desktop?

No. If anything, Desktop is further from Versapay than Online, because the open API route needs a way to reach a locally installed company file. Desktop teams have a shorter list overall. Invoiced, BILL and AccountsReceivable.ai name QuickBooks Desktop; Chaser, Tesorio and Quadient AR name Online only. Desktop shops also tend to be the ones still reconciling deposits by hand, and a reminder tool is only as good as the payment data behind it. If your bank only gives you PDF statements, you can convert a PDF bank statement into a QBO file and import it, so deposits land in QuickBooks before the next reminder run decides who still owes you.

What to ask before you switch from a Versapay evaluation

  1. Which QuickBooks edition, exactly? Online, Online Advanced and Desktop are three different integrations. Get the answer in writing.
  2. Is the sync two-way? Reading invoices is the easy half. Writing payments and applied cash back is what keeps your aging honest.
  3. What stops a reminder? The right answer is a check against QuickBooks before every send, not a nightly refresh.
  4. Which channels are included in the price? SMS is often a credit pack or usage fee on top of the plan, and calls are usually a person on your team.
