Acumatica SMS payment reminders and Acumatica SMS integration for overdue invoice collections

Acumatica does not text a customer about an overdue invoice out of the box. Collections in Acumatica run through dunning letters and statements: you set dunning levels by days past due, Prepare Dunning Letters picks up every customer with a qualifying invoice, and the letter goes out by email or print. Acumatica Payments adds a pay link, and since 2025 R2 a QR code and links on debit memos and overdue charges too. None of that sends a text.

The ways to add one are all bolt-ons. Acumatica publishes an open-source Twilio extension on GitHub that texts or calls the billing contact on released AR invoices with a balance due, on a daily schedule. It is MIT licensed, dated 2017, has no published releases, and you bring your own Twilio account and someone to install and maintain the customization. ClickSend lists an Acumatica integration for SMS and voice billed per message. Integration platforms such as Workato can wire Acumatica to an SMS gateway. Each of these sends a message. None of them decides whether this customer should get a text today, rolls five late invoices into one, or chases a "paying Friday" reply when Friday passes.

AccountsReceivable.ai connects to Acumatica through its REST API, reads open invoices, customers and payments, and works each overdue invoice on a schedule: a reminder email before the due date, a text when it goes late, a firmer text around 15 days, then a live AI phone call as it keeps aging. Every send checks the Acumatica balance first, replies become promises to pay, resend requests or disputes, and applied payments are written back to Acumatica as payment documents for your team to release. Acumatica is on the Growth plan at $799 a month, or $399 a month billed annually, with SMS included and no per-message charge.

Why it works

What your team gets with Acumatica SMS payment reminders

An accounts receivable analyst matching customer payments to open invoices in a distribution warehouse office

A text that checks Acumatica first

A scheduled text fires on a rule and does not look again. The agent reads the invoice balance in Acumatica immediately before every send. If a payment was applied this morning, the text is cancelled. If four invoices for the same customer are late, they go out as one message with one payment link, not four texts to the same payables clerk before lunch.

Replies worked, not lost on a Twilio number

Sending is the easy half. The reply is where the cash is. "Paying on the 30th" becomes a promise to pay with a follow-up on the 31st if nothing lands. "We never got it" triggers a resend with the invoice PDF. "The price is wrong" routes to the account owner and holds every further reminder. The thread sits on the invoice timeline next to the emails and call notes.

US texting rules handled for you

A business texting a customer's mobile number is still covered by the TCPA, and US carriers filter application-to-person traffic that is not registered under 10DLC. The agent sends from a registered number, keeps to daytime hours in the customer's time zone, honors STOP at once and keeps that customer on email from then on. Customers on credit hold for a dispute can be excluded entirely.

What it handles

Chased, collected and reconciled on autopilot

The agent syncs your invoices, chases each one across email, SMS and phone, applies incoming payments to the right invoice, reconciles your ledger, and predicts when every customer will pay.

  • Sync with Acumatica open invoices, customers and payments through the REST API
  • Escalating sequence: email, then SMS, then a firmer SMS, then a live AI phone call
  • Balance checked in Acumatica before every text, so paid invoices are never chased
  • Several late invoices for one customer rolled into one text and one payment link
  • Replies logged as promises to pay, resends or disputes, each with a next step
  • Payments written back to Acumatica for release, flat fee with no per-text charge
ON EVERY INVOICE In order
  1. 01 Sync Reads the open invoice, its terms and the billing contact from your ledger.
  2. 02 Chase Escalates from email to SMS to a live AI call as the invoice ages.
  3. 03 Track Logs replies, disputes and promise-to-pay dates against the invoice.
  4. 04 Apply Matches the incoming payment, reconciles the ledger and closes the invoice.
Nothing sent without your approved tone

How it compares

Acumatica native vs a bolt-on SMS integration vs an AR agent that texts

Three ways an Acumatica customer ends up with a text about an invoice. Only one of them reads the reply and chases the promise.

Capability Acumatica native Bolt-on SMS (Twilio extension, ClickSend) AccountsReceivable.ai
SMS channel No, dunning letters by email or print Yes, scheduled or manual texts per invoice Yes, as a step in the collections sequence

Why AccountsReceivable.ai

One agent that runs the whole receivables job

Not a reminder tool, not a six-figure suite, and not an agency that takes a cut. Chase, collect, apply cash and forecast in one place, on top of the accounting system you already use.

An AR specialist reading a customer reply on a laptop with paid invoice stubs on the desk

Chases every invoice

The full dunning sequence runs on autopilot across email, SMS and live AI phone calls, polite and on-brand, so no overdue invoice slips through.

Applies the cash

Incoming wires and ACH batches are matched to the right invoices automatically, so your ledger reconciles and you never chase an invoice that already paid.

Cuts your DSO

A predicted pay date for every open invoice and steady follow-up bring DSO down week over week, so more cash lands when you need it.

Good questions

Questions about Acumatica SMS payment reminders

Not for customer collections out of the box. Acumatica sends dunning letters, statements and invoices by email or print, and its dunning process has no text channel. To text a customer about an invoice you add something: Acumatica's open-source Twilio extension, a per-message SMS integration such as ClickSend, an integration platform wired to a gateway, or an accounts receivable platform like AccountsReceivable.ai that reads Acumatica and runs the reminders, replies and follow-ups itself.
Yes, as an open-source customization. Acumatica's GitHub repository Acumatica-Twilio sends SMS and outbound call notifications through the Twilio API to the billing contact on released AR invoices with a balance due, manually from the invoice or on a daily scheduled process. It is MIT licensed with a 2017 copyright and no published releases, so test it on your Acumatica version and plan for someone to maintain it.
It depends on what the text has to do. If you want to send texts from records and pay per message, a messaging integration such as ClickSend is the right shape. If the point of the text is to get overdue invoices paid, you want a collections tool that checks the balance before each send, escalates by aging, reads replies and stops when the payment is applied. That second job is what AccountsReceivable.ai does.
There are three routes. Install the Twilio extension and schedule its daily process against open AR invoices. Use an integration platform to trigger a gateway text when an invoice crosses a days-past-due rule. Or connect an AR platform that syncs open invoices and runs the text inside a full reminder sequence. The first two send texts; the third also handles the reply, the promise to pay and the payment.
Yes. The agent reads the open balance in Acumatica immediately before every send. If a payment has been applied to the invoice, the pending text is cancelled and the sequence closes. If the money arrives by ACH or check before anyone records it, the agent applies it to the invoices it covers and writes the payment back to Acumatica, where your team releases it as usual.
Yes. In the US the Telephone Consumer Protection Act applies to automated texts to mobile numbers, and a business contact's cell phone is still a cell phone. Capture consent to receive account texts, keep a record of it, send in daytime hours in the customer's time zone and stop the moment they reply STOP. Ask any vendor, us included, how consent, STOP and 10DLC registration are handled. This is general information, not legal advice.
The Twilio extension is free to download, but you pay Twilio per message plus the cost of installing and maintaining the customization. ClickSend bills per message sent. AR vendors with Acumatica connectors, such as Quadient AR and Paystand, quote privately. AccountsReceivable.ai publishes its price: Acumatica is on the Growth plan at $799 a month, or $399 a month billed annually, with SMS and live AI calls included and no per-message charge.
Yes. Replies come back to the agent, not to a shared Twilio number nobody watches. Each one is read and logged against the invoice and customer: a payment date becomes a promise to pay with its own follow-up, a request for the invoice triggers a resend with the PDF, and a dispute holds further reminders and routes to the account owner. Your collectors see the whole thread on the invoice timeline.
It can sit alongside them or replace them. Some teams keep their dunning levels as the formal escalation and let the agent fill the days between letters with texts and calls. Others stop printing letters and let the agent run the whole sequence. Either way Acumatica stays the system of record for invoices, payments, credit holds and customer status.
Very few. Of the vendors that name Acumatica on their integration pages, ezyCollect publishes SMS, Kolleno carries an SMS allowance on its plans but lists Acumatica on none of its published tiers, and Quadient AR and Paystand publish no SMS step. Crestwood Collections Management, a native Acumatica add-on, runs collection plans by email and activities, not texts. AccountsReceivable.ai includes SMS on every plan and connects to Acumatica on Growth and above.
