NetSuite SMS payment reminders and NetSuite SMS integration for overdue invoice collections

NetSuite does not text customers about invoices out of the box. Collections in NetSuite run through email and print: invoice emails, customer statements, and the Dunning Letters SuiteApp, which emails or queues a letter when an invoice crosses the next dunning level. There is no text step anywhere in that chain. Every NetSuite company that sends an SMS payment reminder today does it through something added on top: a messaging integration installed into NetSuite, a SuiteScript a partner wrote against an SMS gateway, or an accounts receivable platform that reads the open invoices and runs the reminders itself.

The messaging integrations are good at what they are built for. Sinch Engage installs into NetSuite and adds a Send SMS action to records, and its workflow jobs can fire a template text when an invoice is overdue by a set number of days. Textellent markets a NetSuite connector that triggers payment notifications from invoice data. Both send the message. Neither was built to decide whether this customer should get a text today, to roll five late invoices into one message, or to work out what "paid Friday" means and chase it on Monday if the cash never arrives.

AccountsReceivable.ai syncs open invoices, customers and payments out of NetSuite two ways and works each overdue invoice on a schedule: a reminder email before the due date, a text when it goes late, a firmer text and a live AI phone call as it ages. Every send checks the NetSuite balance first, so nobody is texted about an invoice they already paid. Replies become promises to pay, resend requests or disputes, each with a next step, and the applied payment is written back to NetSuite. NetSuite is on the Growth plan at $799 a month, or $399 a month billed annually, with SMS included and no per-message charge.

Why it works

What your team gets with NetSuite SMS payment reminders

An accounts receivable specialist checking a customer text message reply on a phone next to an open aging report

A text that knows the invoice is still open

A workflow text fires when a field changes or a date passes, and it does not look at the balance again. The agent reads NetSuite immediately before every send. If a customer payment was applied an hour ago, the text is cancelled. If four invoices for the same customer are late, they go out as one message with one payment link, not four separate texts to the same payables clerk before lunch.

Replies worked, not stranded in a phone inbox

Outbound texting is the easy half. The reply is where the money is. "Paying on the 30th" becomes a promise to pay with a follow-up on the 31st if nothing lands. "We never got it" triggers a resend with the invoice PDF. "The price is wrong" routes to the account owner with the invoice open and holds every further reminder. The thread sits on the invoice timeline next to the emails and call notes.

US texting rules handled for you

A business texting a customer's mobile number is still covered by the TCPA, and US carriers filter application-to-person traffic that is not registered under 10DLC. The agent sends from a registered number, keeps to daytime hours in the customer's time zone, honors STOP at once and keeps that customer on email from then on. Customers you flag as email-only in NetSuite never get a text.

What it handles

Chased, collected and reconciled on autopilot

The agent syncs your invoices, chases each one across email, SMS and phone, applies incoming payments to the right invoice, reconciles your ledger, and predicts when every customer will pay.

  • Two-way sync with NetSuite open invoices, customers and customer payments
  • Escalating sequence: email, then SMS, then a firmer SMS, then a live AI phone call
  • Balance checked in NetSuite before every text, so paid invoices are never chased
  • Several late invoices for one customer rolled into one text and one payment link
  • Replies logged as promises to pay, resends or disputes, each with a next step
  • Applied cash written back to NetSuite, flat fee with no per-text charge

  1. 01 Sync Reads the open invoice, its terms and the billing contact from your ledger.
  2. 02 Chase Escalates from email to SMS to a live AI call as the invoice ages.
  3. 03 Track Logs replies, disputes and promise-to-pay dates against the invoice.
  4. 04 Apply Matches the incoming payment, reconciles the ledger and closes the invoice.

How it compares

NetSuite native vs a messaging integration vs an AR agent that texts

Three ways a NetSuite customer ends up with a text about an invoice. Only one of them reads the reply and chases the promise.

Capability NetSuite native Messaging integration (Sinch Engage, Textellent) AccountsReceivable.ai
SMS channel No, email and print only Yes, manual sends and workflow template texts Yes, as a step in the collections sequence
Checks the balance before every send n/a Only if your workflow condition does Every send, against NetSuite
Rolls several late invoices into one text n/a Only if you build it Yes, one message and one payment link

Why AccountsReceivable.ai

One agent that runs the whole receivables job

Not a reminder tool, not a six-figure suite, and not an agency that takes a cut. Chase, collect, apply cash and forecast in one place, on top of the accounting system you already use.

An AR specialist reviewing an aging printout while checking a customer text reply on a phone

Chases every invoice

The full dunning sequence runs on autopilot across email, SMS and live AI phone calls, polite and on-brand, so no overdue invoice slips through.

Applies the cash

Incoming wires and ACH batches are matched to the right invoices automatically, so your ledger reconciles and you never chase an invoice that already paid.

Cuts your DSO

A predicted pay date for every open invoice and steady follow-up bring DSO down week over week, so more cash lands when you need it.

Good questions

Questions about NetSuite SMS payment reminders

Not for customer collections on its own. NetSuite sends invoices, statements and dunning letters by email or for print, and the Dunning Letters SuiteApp has no text channel. To text a customer about an invoice you add something on top: a messaging integration such as Sinch Engage or Textellent, a custom SuiteScript connected to an SMS gateway, or an accounts receivable platform like AccountsReceivable.ai that reads NetSuite and runs the reminders, replies and follow-ups itself.
It depends on what the text has to do. If you want to send ad hoc texts from records and fire template messages from NetSuite workflows, a messaging integration such as Sinch Engage is the right shape. If the point of the text is to get overdue invoices paid, you want a collections tool that checks the balance before each send, escalates by aging, reads replies and stops when the cash is applied. That second job is what AccountsReceivable.ai does.
There are three routes. With a messaging integration you build a NetSuite workflow on the invoice record, set a condition such as days overdue, and attach an SMS job using a saved template. A NetSuite partner can script the same thing in SuiteScript against a gateway. Or you connect an AR platform that syncs open invoices and runs the text step inside a full reminder sequence. The first two send texts; the third also handles the reply and the payment.
Yes. The agent reads the open balance in NetSuite immediately before every send. If a customer payment has been applied to the invoice, the pending text is cancelled and the sequence closes. If the money arrives by ACH or check before anyone records it, the agent applies it to the invoices it covers, writes the payment back to NetSuite and closes the sequence in the same step.
Yes. In the US the Telephone Consumer Protection Act applies to automated texts to mobile numbers, and a business contact's cell phone is still a cell phone. Capture consent to receive account texts, keep a record of it, send in daytime hours in the customer's time zone and stop the moment they reply STOP. Ask any vendor, us included, how consent, STOP and 10DLC registration are handled. This is general information, not legal advice.
Messaging integrations usually charge a platform subscription plus usage, and neither Sinch Engage nor Textellent prints a NetSuite-specific price on its integration page, so ask for both lines. A custom SuiteScript build is quoted per project, plus gateway fees per message. AccountsReceivable.ai publishes its price: NetSuite is on the Growth plan at $799 a month, or $399 a month billed annually, with email and SMS reminders and live AI phone calls included and no per-message charge.
Yes. Replies come back to the agent, not to someone's personal phone. Each one is read and logged against the invoice and customer: a payment date becomes a promise to pay with its own follow-up, a request for the invoice triggers a resend with the PDF, and a dispute holds further reminders and routes to the account owner. Your collectors see the full thread on the invoice timeline next to the emails and calls.
Yes, as the second touch rather than the first. A text to the payables contact the day after an invoice goes late, with the invoice number, the amount and a payment link, gets read where a third email sits unopened. The usual order is a reminder email before the due date, a text when late, a firmer text around 15 days past due, then a live call.
It can sit alongside it or replace it. Some teams keep their NetSuite dunning levels as the escalation map and let the agent fill the days between letters with texts and calls. Others turn the letters off and let the agent run the whole sequence. Either way NetSuite stays the system of record for invoices, payments and customer status.
Fewer than you would expect. Most NetSuite AR vendors, including Versapay, Billtrust, HighRadius, Tesorio and Gaviti, publish no SMS step. Chaser and Kolleno carry SMS allowances on their plans, and Kolleno lists NetSuite only on its Enterprise tier. AccountsReceivable.ai includes SMS on every plan and connects to NetSuite on Growth and above.
