Outsource accounts receivable on NetSuite to an AR agent or to accounts receivable outsourcing companies, with what each one costs

If you run NetSuite and the receivables work has outgrown the people you have, there are four ways to outsource it. You can rent an offshore or nearshore AR specialist who logs into your account, hire a NetSuite outsourced accounting firm to run AR as part of a wider scope, send aged balances to a contingency collection agency, or put an AR agent on top of NetSuite that does the chasing and the cash matching itself. They differ less in what they promise than in three things: what they cost every month, how much NetSuite access they need, and who still has to check the work.

AccountsReceivable.ai is the fourth option. On the Growth plan it connects to NetSuite, reads every open invoice and the billing contact, checks the live balance before each message goes out, and chases each invoice by email, by text from your own Twilio number during the customer's daytime hours, and with a live AI phone call as it ages. When a payment lands, it is recorded back against the invoice in NetSuite, so the aging and the chasing agree. Growth is 799 USD a month, or 399 USD a month billed annually, with no percentage of what gets collected and no NetSuite seat to buy for a contractor.

You can see the result before you connect anything. Export your open invoices from a NetSuite saved search or the A/R Aging report as a CSV, drop it into the tool above, and you get the aging, the customers about to go late and the exact reminder each one would receive. Most NetSuite teams that look at outsourcing are not short of software. They are short of hours on Monday morning, and the oldest balances are always the ones that get skipped.

Why it works

What your team gets with outsourced AR on NetSuite

An accounts receivable manager reviewing customer invoices and remittance slips at her desk

No NetSuite seat for a contractor

An outsourced specialist has to log into your account, which means a full user license. Oracle does not publish its price list, and third-party NetSuite pricing guides put a full user at roughly 129 USD a month and up. The agent connects through an integration instead, so there is no named login to buy, audit or offboard.

The chasing NetSuite does not do

NetSuite can send dunning letters by level and match bank lines to invoices on rules you configure. It does not text a customer, call them, or read the reply that says the invoice went to a closed AP inbox. The agent runs the whole sequence and logs every promise to pay, resend request and dispute against the invoice.

Cash recorded back to the ledger

When an ACH batch or a wire arrives, it is matched to the invoices it covers and written back to NetSuite, and every queued reminder checks the current balance first. Nobody gets a collection call about an invoice they paid on Monday, which is the usual failure when chasing and cash application are done by two different outsourced teams.

What it handles

Chased, collected and reconciled on autopilot

The agent syncs your invoices, chases each one across email, SMS and phone, applies incoming payments to the right invoice, reconciles your ledger, and predicts when every customer will pay.

  • Connects to NetSuite on Growth: open invoices, billing contacts and live balances
  • Email, then SMS from your own Twilio number in the customer's daytime hours, then a live AI phone call
  • Replies logged as promises to pay, resend requests or disputes, each with a next step
  • Payments matched and recorded back against the invoice in NetSuite
  • No contractor login, no NetSuite user license, no offboarding when the contract ends
  • Flat monthly fee, never a percentage of what gets collected

  2. 02 Chase Escalates from email to SMS to a live AI call as the invoice ages.
  3. 03 Track Logs replies, disputes and promise-to-pay dates against the invoice.
  4. 04 Apply Matches the incoming payment, reconciles the ledger and closes the invoice.

Why AccountsReceivable.ai

One agent that runs the whole receivables job

Not a reminder tool, not a six-figure suite, and not an agency that takes a cut. Chase, collect, apply cash and forecast in one place, on top of the accounting system you already use.

A controller and an AR manager comparing two printed software proposals at a conference table

Chases every invoice

The full dunning sequence runs on autopilot across email, SMS and live AI phone calls, polite and on-brand, so no overdue invoice slips through.

Applies the cash

Incoming wires and ACH batches are matched to the right invoices automatically, so your ledger reconciles and you never chase an invoice that already paid.

Cuts your DSO

A predicted pay date for every open invoice and steady follow-up bring DSO down week over week, so more cash lands when you need it.

Good questions

Questions about outsourced AR on NetSuite

Yes. The usual setups are an offshore or nearshore AR specialist working inside your NetSuite account, a NetSuite outsourced accounting firm that runs AR as part of a wider scope, or an AR agent connected to NetSuite that chases invoices and records payments itself. The first two need a NetSuite login per person; an integration does not.
It depends on the model. Published guides quote a dedicated Philippines-based AR specialist at about 1,500 to 2,800 USD a month, against 4,800 to 6,200 USD all-in for a US AR clerk, per-invoice services at roughly 2 to 8 USD an invoice, and collection agencies at 20 to 50 percent of what they recover. AccountsReceivable.ai Growth is 799 USD a month flat.
Usually, yes. Anyone who logs into your NetSuite account to work invoices, post payments or update customer records needs a user license, and NetSuite accounts are licensed per named user. Third-party pricing guides put a full user at roughly 129 USD a month and up. Budget that on top of the outsourcing fee, for every person on the vendor team.
They fall into four groups: global finance BPO firms that sell AR as a managed service, nearshore and offshore staffing firms that rent a dedicated specialist, NetSuite partner firms that run outsourced accounting inside your account, and collection agencies that work only the aged balances. Pick the group first, by how much access you will give and how you want to pay, then compare firms inside it.
It can be, if you set it up deliberately. Create a custom role that can see customers, invoices and payments but not vendors, payroll or bank details, require two-factor authentication, and remove the login the day the contract ends. The risk most teams miss is the shared password that outlives the vendor. An integration with a scoped token avoids a human login altogether.
Outsourcing pays people somewhere else to do the same manual steps: open the aging, send the emails, make the calls, post the cash. Automation removes most of those steps. An AR agent runs the reminder sequence, reads replies and applies payments on its own, and a person on your team handles only the disputes and judgment calls it flags.
A staffed outsourcing engagement typically takes about a month to stand up. One provider publishes a four-week plan of discovery, specialist matching and shadowing, QA calibration, then go-live, and says to expect the first movement in 30 to 60 days. Uploading an open-invoice export here shows the aging and the first reminders in a few minutes.
NetSuite can produce the A/R Aging report, send dunning letters by email or print through its Dunning Letters SuiteApp, and match imported bank lines to invoices with Automated Cash Application. It does not run text reminders, place calls, read customer replies or track promises to pay. Those are exactly the hours most NetSuite teams end up trying to outsource.
Yes, and it is the most common setup. Keep the person for credit decisions, disputes, short pays and the customer relationships that matter, and hand off the repetitive volume: the first three reminders, the past-due texts and the routine cash matching. The agent flags what needs a human, so their week is spent on the hard ten percent.
Only for the tail. A contingency agency takes over accounts you have given up on and keeps 20 to 50 percent of what it recovers, and the customer knows the debt has gone to collections. It is the wrong tool for invoices that are 15 or 45 days late, which are most of what a NetSuite AR team actually chases.
